Map the current practice workflow before requesting a demo
Document scheduling, registration, eligibility review, referrals, authorizations, clinical handoffs, charge entry, claim status, payment posting, patient communication and management reporting. Mark the points where staff re-enter information, maintain spreadsheets or wait for another team. Those friction points become the demonstration requirements.

Give every vendor the same demonstration scenarios

Ask what information subcontractors can access and whether the arrangement requires a business associate agreement. Require usable exports for patients, appointments, providers, charges, claims, payments, tasks and reports. Test a sample export before signing.
Score total fit instead of choosing the best presentation
Use weighted categories for workflow fit, specialty fit, integrations, reporting, implementation, support, security, data control and total cost. Record whether each requirement was demonstrated, promised for later or unavailable. Separate required functions from attractive extras so a polished presentation does not outrank daily usability.
